Job Title:  Operations or Administrative Coordinator

Operations/Administrative Coordinator Job Purpose: Provides operations, office and project support services by implementing administrative systems, procedures, and policies, communicating with customers and monitoring administrative projects.

About This Position: Agnitron offers a fast pace, exciting, small-business work environment where the Coordinator will need to have the ability to balance many different activities and be capable of quickly re-prioritizing work based on sometimes daily developments of our dynamic operations. Coordinator will spend most time coordinating internal activities between management and the engineering teams in order to fulfill customer orders and service requests. In addition, Coordinator must possess strong verbal and written communicate skills in order to coordinate externally with customers and local, state and federal agencies to support execution of business activities. A period of training and close management will be offered as needed while the new Coordinator learns business processes/workflows and while forming internal and external relationships. Looking ahead, this position has excellent growth opportunities as the business is currently in a strong growth cycle. The ideal applicant will be highly organized, energetic with ambition to learn and take on new responsibilities and grow into an Office or Operations Manager role within 1-3 years to support expanding operations. Operations/Administrative Coordinator Job Duties:

-Works closely with Vice President and President on a daily basis to respond to sales inquiries, customer requests and support general marketing activities.

-Maintains operations and business workflows by studying methods; implementing cost reductions; and developing reporting procedures.

-Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

-Creates and revises systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.

-Assist company management by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

-Coordinate with employee schedules for planning and scheduling meetings, conferences, teleconferences, and interfacing with travel agency to book travel for team members.

-Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

-Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

-Manage order processing and vendor relations to support and coordinate order fulfillment activities.

-Communicate with customers to coordinate field services scheduling and general information exchange relating to order status etc.

-Opportunities may be available for Coordinator to travel domestically and internationally to support marketing staff during company exhibitions at industry conferences and trade shows; travel requirement for position is 0-5% of time.

Time Requirements: 10-20 hours/week flexible schedule

Intern Job Purpose: Contribute to engineering projects relating to CVD equipment upgrade/customization and Agnitron’s compound semiconductor material and device research programs.

Experience Level: Junior or Senior level undergraduate or graduate student in pursuit of a degree in engineering or science discipline.
